Multi-day charters

Keep the same bus with you from the first day to the last

Book one coach for the whole tour, from the first morning pickup to the final drop-off. Each day's driving is planned inside federal hour limits, and the driver's room appears as its own line in the quote. College and university groups, church tours and senior trips are our most common multi-day charters.

How a multi-day charter works

Plan each day around the driver's clock.

01

The federal limits, in plain words

Bus drivers follow federal hours-of-service rules. After at least 8 hours in a row off duty, a driver may drive for up to 10 hours. Once the driver has been on duty for 15 hours, counting inspections and other work as well as driving, driving stops until the next 8-hour break. Across a week, on-duty time is capped at 60 hours in 7 days or 70 hours in 8.

  • ✓Up to 10 hours behind the wheel
  • ✓No driving after 15 hours on duty
  • ✓60 hours in 7 days or 70 in 8

02

Where the driver sleeps

The driver needs a hotel room near the group each night, and the coach needs somewhere to park. Driver lodging is quoted separately; drive hours follow federal limits. If you would rather add the driver's room to your own hotel block, say so before we quote so it is not counted twice. Ask each hotel about motorcoach parking before you sign the contract.

  • ✓Driver room close to the group hotel
  • ✓Overnight coach parking confirmed
  • ✓Room in your block or in our quote

03

A daily plan the driver can keep

Write each day as a start time, a list of stops and a return time to the hotel. Sightseeing days add up quickly: leaving at 9 AM and returning from dinner at 9 PM already puts the driver past 12 hours on duty. Send the full itinerary with your quote request, and we flag any day that needs a later start, a shorter loop or a second driver.

  • ✓Start, stops and return for every day
  • ✓A lighter day after a long transfer
  • ✓Tight days flagged before booking

What the federal rules mean for your tour

These are the federal limits for drivers of passenger-carrying commercial vehicles. Stricter internal rules may apply.

RuleLimitWhat it means for the group
Off-duty breakAt least 8 consecutive hoursSet the next morning's departure at least 8 hours after the previous evening's last drop-off, plus time for the driver to reach the hotel.
Driving timeUp to 10 hours after the breakA long transfer between regions fits in one day, with little room left for extra side trips.
On-duty windowNo driving after 15 hours on dutyWaiting, loading and inspections count, so a full sightseeing day with a late dinner can reach the limit.
Weekly cap60 hours in 7 days or 70 hours in 8On a week-long tour, a lighter day or a second driver may be needed toward the end.

Before you commit

Settle these early in the planning.

Hotels with coach parking

Ask where a motorcoach can park overnight before signing a hotel contract. A downtown hotel may send the bus to a lot across town, which adds time every morning.

Suitcases for several nights

Set a limit of one suitcase and one carry-on per person. Under-floor bays hold a lot, but a full coach of week-long bags can still run short of space.

Lunch where a coach can stop

Pick lunch spots with room for a bus to pull in. Restaurants near highway exits work better than city-center places, and calling ahead keeps a big group moving.

Group bookings first

Longwood, Hagley and Mount Vernon each set their own group minimums and notice periods. Reserve those slots, then fix the bus schedule around them.

FAQ

Multi-day bus tour questions

Didn't find your answer? Call (929) 831-5150 — a coordinator will help.

Will one driver stay with us for the whole tour?▼

Usually the same driver stays with the group, which means one person learns your hotels, stops and routine. On a tour with long driving days, a second driver may be assigned, or drivers changed partway through, to stay within the federal limits. Your quote shows which arrangement applies, so you know before you book.

Who books and pays for the driver's hotel room?▼

The cost is part of the trip and is listed as its own line, apart from the bus itself. We can include the room in the quote, or you can add it to your group's hotel block. Tell us which before we quote so it appears only once. Either way, the room should be close to the group, with parking for the coach nearby.

Can the bus take us out on a free day in the middle of the tour?▼

Yes, as long as the driver's hours allow. Local runs on a free day count toward the weekly cap of 60 hours in 7 days or 70 in 8. On a long tour, a day when the coach stays parked gives the driver real rest and keeps the final days on schedule. Plan any free-day outings when you send the itinerary.

How far can we travel in one day?▼

Driving is capped at 10 hours a day, but on-duty time runs out sooner when the day also includes meal stops, a museum visit and a hotel check-in. A long transfer day works best with one main stop along the way. Send the route with mileage between hotels, and we mark any leg where the hours get tight before you commit.

Can we pick up passengers in more than one place on the first morning?▼

Yes. Several pickups can be added to day one, such as a church parking lot in Wilmington and a park-and-ride near I-95. Each extra stop uses part of the driver's day, so list every pickup point and its expected head count in the quote request. Give the last pickup a firm time so the group reaches the first visit on schedule.
