If you are pricing a charter bus for the first time, the honest answer is “it depends,” but it depends on a short list of things you can control. This guide explains how charter bus pricing works, what moves a quote up or down, and how to get an all-in quote you can compare fairly.
How charter bus pricing works
Charter companies price by the hour for local trips, by the day for longer trips, and per transfer for airport and point-to-point runs. At CharterMyBus the starting point is simple: Sprinters to motorcoaches · Groups of 8 to 500+ · Every quote priced by hand. Your quote will be specific to the date, city and vehicle.
| Vehicle | Seats | Best for |
|---|---|---|
| Sprinter van | 8–14 | Airport runs, nights out, executive shuttles |
| Minibus | 15–35 | Weddings, corporate shuttles, city tours |
| School bus | Up to 45 | Local field trips, camps, short team travel |
| Motorcoach | Up to 56 | Long trips, sports teams, conferences, multi-day tours |
Peak dates and long-distance trips cost more than a weekday local trip in the same vehicle. Most local trips carry an hourly minimum.
What drives a charter bus quote up or down
1. Vehicle size
Seat count is the biggest lever. A 56-passenger motorcoach costs more per hour than a 14-seat sprinter, but far less per seat. If you are near the top of a vehicle’s capacity, the bigger bus is usually the better deal. Compare capacities on our vehicles page.
2. Hours and distance
Local trips are billed hourly with a minimum. Once a trip runs beyond roughly 8–10 hours or 250 miles, most companies switch to a day rate, which is usually cheaper than the hourly total would be. For multi-day trips, driver lodging is quoted separately; drive hours follow federal limits.
3. Date and season
Prom and graduation season (late April to mid-June), major sporting events, marathon weekends and the December holiday period are the most expensive weeks. Booking 4–8 weeks ahead protects you from higher prices when the last coaches in a city are booked.
4. City and pick-up location
Big-city pick-ups such as Manhattan cost more than suburban ones because of tolls, parking restrictions and driver time in traffic. See local notes on our New York City, Boston and Philadelphia charter bus pages.
5. Driver gratuity, tolls and parking
Driver gratuity is customary and optional; 10–15% is common. Tolls and parking are often passed through at cost. A good quote shows these lines separately so you are not surprised on the invoice.
6. Amenities
Wi-Fi, power outlets, a restroom and an entertainment system are standard on most motorcoaches and do not usually change the price. Party-bus interiors, ADA lifts and luggage trailers are usually priced as extras.
Sample trips and what shapes their price
- School field trip, Boston to the Museum of Science and back, 45-seat school bus, 5 hours: short distance and a smaller vehicle keep this at the low end.
- Wedding guest shuttle, three hotel-to-venue loops on a Saturday, 35-seat minibus, 6 hours: the peak-season Saturday and standby time between loops are the main factors.
- Corporate day trip, Manhattan to a Hudson Valley offsite, 56-seat motorcoach, 10 hours: a full-day rate plus tolls out of the city.
- Airport transfer, 12 people from JFK to Midtown, sprinter van: priced as a one-way transfer; waiting time for a delayed flight can add to it.
- Casino day trip, Philadelphia to Atlantic City, 56-seat motorcoach: a round trip with time on site, usually quoted as a day.
How to get a lower price without cutting corners
- Right-size the vehicle. Do not book a 56-seat coach for 20 people unless you need the luggage bays.
- Book early for peak dates and ask whether a Friday or Sunday is cheaper than Saturday.
- Consolidate stops. Every extra pick-up adds time to the clock.
- Use a school bus for short local trips when you do not need a restroom or reclining seats.
- Ask for an all-in quote. The cheapest headline rate is often the one with tolls, parking and gratuity left off.
What is included in a CharterMyBus quote
CharterMyBus arranges private charter buses with a driver. A quote covers the vehicle and driver, with tolls and parking shown as separate lines. Before we confirm, we review the safety record and confirm insurance for your bus. Because we book across a wide range of local vehicles, we can quote the one that fits your group instead of whatever one company has available.

Smaller vehicles such as Sprinters, minibuses and school buses often cost well under a full motorcoach. The final price depends on the vehicle, hours, distance, city and date.
How much is a charter bus per hour?
Hourly pricing varies by vehicle, city and date, so each trip is quoted on its own details. Send the date, pick-up city and head count for a specific number.
Is a deposit required?
Deposit and payment terms are confirmed in your quote. Cancellation terms are confirmed in your quote.
Are tips included?
Driver gratuity is optional. If it is not already in the quote, 10–15% is customary.
