Before you book

Three things that shape a holiday party charter.

01

One run each way, or a shuttle loop?

Most office parties need a single run: the bus collects everyone at the office or a central point, drops the group at the venue, waits, and brings everyone back at an agreed time. A party spread across a hotel and a venue, or an event with staggered arrivals, works better as a shuttle loop with a smaller bus doing repeat trips. Tell us which you want and we will quote it that way, with the waiting time shown as its own line.

  • ✓Single run: pickup, drop, wait, return
  • ✓Shuttle loop: repeat trips, smaller bus
  • ✓Waiting time itemized on the quote

02

The ride home is the point

A charter removes the awkward questions about who drives after the party. Set the return time before the event and share it with the group, then name one person who makes the final call on the night. If the party runs over, the driver can wait, but the extra time is billed by the hour at the rate on your quote. A second, earlier bus is a popular option for colleagues who want to leave at a reasonable hour.

  • ✓Return time fixed in advance
  • ✓Overtime billed by the hour, rate on the quote
  • ✓Early bus and late bus for larger offices

December dates book early

Thursday and Friday evenings in the first three weeks of December are the busiest nights of the year for charter buses in the Northeast, and those dates fill first. Booking by early November gives you the pick of vehicles; a weeknight or a January date usually prices lower and is easier to staff. If the forecast turns, our 24/7 dispatch line keeps you informed, and cancellation terms are confirmed in your quote.

  • ✓Book by early November for December Thursdays and Fridays
  • ✓Weeknights and January dates cost less
  • ✓Weather handled through 24/7 dispatch

Venues by metro

Where offices hold their holiday parties

Drive times are typical no-traffic estimates from each downtown and run longer on December evenings. Confirm bus access and any parking fee with the venue; we arrange the transportation.

Drive times are typical no-traffic estimates from Midtown Manhattan, Newark, Center City Philadelphia, downtown Washington DC and Baltimore, downtown Boston and the Chicago Loop. Bus access and parking rules are set by each venue and change by event; confirm with the venue before you book. Tickets, catering and room hire are booked with the venue directly.

Planning the night

Sort these out before the bus is booked.

Headcount and pickup points

Count who is actually riding, not who is invited, and decide whether everyone leaves from the office or from two or three points. Each extra stop adds time to the run, so list them in your quote request.

Where the bus can stop

Ask the venue where a 45-foot coach can load and unload. Many Manhattan and Center City venues have no bus zone at the door, so the drop may be around the corner. We confirm the spot with the driver before the night.

Drinks on board

Whether alcohol is allowed on the bus depends on the vehicle and state law, and glass is usually not permitted. Tell us when you request the quote and we will confirm the rule for your trip in writing.

Two return times

For larger offices, an early bus around 10 PM and a late bus at close lets people choose. One trip lead holds the passenger list, counts heads and acts as the driver’s contact; give us their number when you book.

FAQ

Holiday party bus questions

Didn't find your answer? Call (929) 831-5150 — a coordinator will help.

How late can the bus run after the party?▼

Late returns are normal for holiday parties and we plan for them. The driver’s day is capped by federal hours-of-service rules, so a very early pickup combined with a return after midnight can need a second driver, and we show that in your quote. Set the return time before the event; if the party runs over, the driver waits and the extra time is billed by the hour at the rate on your quote.

Can the bus collect people from more than one place?▼

Yes. Many offices use two or three pickup points, or a stop at a transit hub before the venue. Each stop adds time and sometimes mileage, so list every stop in your quote request and we price the whole route. On the return, the bus can drop at the same points in reverse.

Is alcohol allowed on the bus?▼

It depends on the vehicle and on state law, and glass containers are usually not allowed. Tell us when you request the quote and we will confirm the rule for your trip in writing before you book. Whatever the rule on board, the point of the charter is that nobody has to drive afterwards.

How far ahead should we book a December party bus?▼

Thursday and Friday evenings in the first three weeks of December go first across New York, New Jersey, Philadelphia, DC, Boston and Chicago. Aim to book by early November for those dates. A weeknight, a Saturday, or a January party is easier to place and usually costs less.

Who pays for parking, tolls and the venue’s bus fee?▼

Tolls, parking and any venue access fee appear as separate lines on your quote and invoice, so nothing is hidden in the hourly rate. If the venue charges buses to use its drop lane or lot, tell us and we add it; otherwise we confirm the amount with the venue before the night.

Is there a minimum booking?▼

Day and evening charters carry a 5-hour minimum, and a typical party run (pickup, wait, return) runs past it anyway. For a short transfer with no waiting, such as a hotel-to-venue shuttle, ask about a minibus or sprinter, which is often the better fit for the budget.
