How a team charter works

What coaches and team managers plan for.

01

Bags, sticks and coolers below the floor

Hockey bags, bat bags, lacrosse sticks and team coolers travel in the under-floor bays of a motorcoach, which keeps the aisle clear so players can rest before the game. Goalie gear and medical kits take more room than a seat count suggests. Send a count of large bags with the quote request so we send a vehicle with enough bay space.

  • ✓Large-bag count on the request
  • ✓Sticks and bats bagged and tagged
  • ✓Coolers loaded last, unloaded first

Work back from warm-ups

The time that matters is when the team must be in the locker room or at tournament check-in. Give us that along with the start time, and we set the pickup from it with room for traffic and a meal stop. For a weekend event with several games, share the bracket, and the bus can run between the hotel and the fields.

  • ✓Check-in time on the quote request
  • ✓Meal stop on drives over two hours
  • ✓Bracket times for hotel-to-field runs

Night games and the ride home

A game that finishes at 10 PM, followed by a four-hour drive back, makes a long shift for the driver. Federal rules bar a bus driver from driving once 15 hours on duty have passed. When a schedule runs near that line, a second driver may be added or plan an overnight stop, and your quote says which.

  • ✓Expected final whistle on the request
  • ✓Second driver shown in the quote
  • ✓Head count before the bus pulls out

Stadiums and arenas

Venues groups travel to by bus

Pro stadiums for fan trips and college venues for games, camps and campus visits. Ask each venue or host school where charter buses drop off and park on event days.

Fan trips and game-day buses. One coach for the whole group to MetLife Stadium or Lincoln Financial Field, with a drop point by the tailgate lot and no stadium parking to find. Bowl games and playoff runs book out quickly, so tell us the game, the headcount and where everyone is starting from.

North Shore, Pittsburgh PA

Acrisure Stadium

Formerly Heinz Field; 68,400 seats; home of Steelers and Pitt football.

North Shore, Pittsburgh PA

PNC Park

Home of the Pirates with 38,747 seats, near Acrisure Stadium on the same riverfront.

Elmont NY (Belmont Park)

UBS Arena

Islanders home since it opened in November 2021; about 17,255 for hockey.

Stony Brook NY

Kenneth P. LaValle Stadium

Stony Brook University's 12,300-seat stadium on Long Island's North Shore.

Newark DE

Delaware Stadium

University of Delaware football stadium with 18,500 seats.

Fairfax VA

EagleBank Arena

George Mason University's arena, holding about 10,000 for basketball.

Trip types

Six kinds of athletics trips we arrange.

Away games

A round trip from your field or school to the opponent's venue. The bus stays for the game and leaves once players have changed and been counted.

Tournaments and showcases

Weekend events with runs between the team hotel and the fields. An event with overnight stays is quoted as a multi-day trip.

Training camps

One run out at the start of camp and one back at the end, with bay space for a full roster's gear. Tell us if the camp needs local trips in between.

Fan trips to pro games

Supporters, offices and alumni groups heading to a stadium such as PNC Park or UBS Arena. Plan the return time around the expected end of the game.

College visits

Recruits and families touring campuses such as Stony Brook, Delaware or George Mason. One campus per morning leaves time for the athletics facilities.

School athletics

Middle and high school teams, cheer squads and pep bands heading to league games. For short trips, a yellow school bus with driver is often enough.

FAQ

Sports team bus questions

Didn't find your answer? Call (929) 831-5150 — a coordinator will help.

Where does the bus park while the team plays?▼

That depends on the venue. Large stadiums such as Acrisure Stadium or UBS Arena often set aside separate bus areas on event days, and a host high school may have a lot behind the gym. Get the drop-off and parking instructions from the venue or the opposing athletic director before game day and send them to us, so the driver has them in hand.

Our tournament schedule changes as teams win or lose. How does the bus keep up?▼

Send the bracket with the quote request, and keep us posted as times move. Our dispatch line is answered 24/7, so a coach can call after a late result and we pass the new time to your driver. A bus that stays with the team for the weekend handles changes most easily, since it is already at the hotel or the fields.

What if the game goes to overtime or there is a weather delay?▼

The bus waits. The return time in your booking is a planning estimate, and how extra hours are handled is confirmed in your quote. The firmer limit is the driver's on-duty clock: under federal rules, no driving after 15 hours on duty. On a long away trip, a lengthy delay can mean a later departure or a second driver.

Can the team and the parents travel on separate buses?▼

Yes. You can book two vehicles on one quote: a motorcoach for players, coaches and staff, and a second bus for parents or supporters with its own pickup time. That lets the team leave early for warm-ups while families arrive closer to the start. Each vehicle gets its own driver, and both can wait for the return trip.

How is the price for an away-game bus built?▼

We don't run a price-match guarantee, but we do price transparently. Every quote is itemized line by line — vehicle, hours or days, mileage, tolls and driver gratuity — so you can compare it like for like with any other quote. If something looks off, tell your coordinator and we'll walk you through it. Match the vehicle carefully, since a school bus and a motorcoach are different types.
