Booking a bus is the least glamorous part of a field trip and the one most likely to hold up approval. This checklist walks a teacher, athletic director or PTA coordinator from “we want to go” to “the bus is in the parking lot,” with the paperwork your business office will ask for along the way.
Six weeks out: choose the vehicle
| School bus | Motorcoach | |
|---|---|---|
| Seats | Up to 45 (students) / 30–33 (adults) | Up to 56 |
| Best for | Trips under about 3 hours each way | Longer trips, overnight travel, adult groups |
| Restroom | No | Yes |
| Luggage | Under-seat only | Under-floor bays for instruments, gear, suitcases |
| Seat belts and A/C | Varies by state and vehicle age, so ask | Yes on nearly all coaches |
Count the students and the chaperones, then add 10% for last-minute additions. Most schools plan one adult per 10 students for elementary trips and one per 15 for high school. Details on both vehicle types are on our school bus rental page.
Five weeks out: get the quote and the paperwork
Ask every charter company for the same four documents. If a company cannot produce them within a day, move on.
- Written quote showing the vehicle, hours, driver, fuel and any tolls or parking.
- Certificate of insurance (COI) naming your school or district as certificate holder.
- Safety record so the business office can review it.
- Driver vetting statement confirming background checks and drug and alcohol testing.
Before we confirm, we review the safety record and confirm insurance for your bus. If your district pays by purchase order, say so when you request the quote.
Four weeks out: lock the schedule
- Departure time from school (ask for the bus to arrive 15 minutes earlier).
- Arrival window the venue has given you, and where buses can unload and park.
- Return departure time and the number of students a teacher will confirm on board.
- Any second stop (lunch, a second museum). Each stop adds time to the clock.
Museums and stadiums in Boston, New York City and Philadelphia have designated bus staging areas. A driver who knows the city knows where they are, which is a good reason to ask for a local driver rather than the cheapest listing.
Two weeks out: permissions and roster
- Collect permission slips and medical forms; keep a copy on the bus.
- Build a seating chart or a bus roster by class; assign each chaperone a group.
- Agree with the office how parents will be updated if the bus is running late.
- Reconfirm head count with your coordinator; a jump from 44 to 50 changes the vehicle.
The day before
- Reconfirm pick-up time, address and the trip coordinator’s mobile number with dispatch.
- Print the roster, emergency contacts and the venue contact.
- Remind students about food, drinks and behavior rules on the bus.
- Pack a first-aid kit, trash bags and paper towels.
On the day: the 10-minute boarding routine
- Coordinator meets the driver, checks the vehicle and confirms the route.
- Students board by group; chaperones count as they board.
- Head count read aloud and matched to the roster before the door closes.
- Repeat the count at every reboarding. Never depart on “I think everyone’s here.”
Field trip bus FAQs
How much does a school field trip bus cost?
The price depends on the vehicle, the hours on the clock, the distance and the date. A school bus for a short local trip usually costs less than a motorcoach for a full day. See our charter bus cost guide for what moves the number.
Do school buses have seat belts?
Rules vary by state and vehicle age. Tell us if belts are required and we will look for a vehicle that has them.
How far can a school bus go?
We suggest school buses for trips under about three hours each way. Beyond that, students are far more comfortable on a motorcoach with a restroom and reclining seats.
Can we pay by purchase order?
Tell us when you request the quote. Payment terms are confirmed in your quote.
Are the drivers vetted for student transportation?
Ask your coordinator which driver details can be shared for your trip. We review the safety record and confirm insurance before confirming.
